Keeping your group listing accurate
A useful listing lets someone find the right group and take the next step toward attending. Organizers should make it clear which information is current and which details are intended for publication.
Submit a complete update
Use the form linked from Group Registration, then send the requested email notification. Include the group identifier and location, identify what changed, and state what should be removed. Provide a complete current set of details so the reviewer does not have to reconstruct the listing from several messages.
Typical updates include the group's website, public contact, community links, meeting schedule, venue, and access instructions. If the change involves organizers, explain the handover as well as supplying the new contact information.
Separate public information from administrative contact
Use the public listing fields only for information you agree to publish. A group mailbox can help keep communication working through organizer changes. Do not place home addresses, private phone numbers, or private email addresses in public fields.
If a venue should not be publicly displayed, make that explicit and provide suitable public attendance instructions. Do not include door codes, credentials, or private access arrangements. Provide sensitive administrative context through the department contact route rather than putting it in a public description.
An update is not a new approval
Submitting changed details does not automatically verify a new group, reactivate a dormant one, or approve a leadership transfer. Tell the department which situation applies. Historical records may be needed to resolve conflicting claims.
If the published listing is wrong, identify the affected field and the correct replacement. If information has been exposed that should not be public, clearly identify the page and information requiring attention without repeating unnecessary private details.
